  1. Choose a simple note card with the words "Thank You" engraved on the front, no flowers or bunnies. Write neatly, do not type, inside the card.
  2. Make your greeting friendly without being intimate. Not "To the Kinkaid Company," Not "Dear Thomas," but "Dear Mr. Kinkaid".
  3. Identify the gift, business transaction, purchase or contact. "Thank you for your donation of a framed painting to our recent art auction." Or "Thank you for touring the model homes at Charrington Cross Development."
  4. Compliment the customer or donor without flattery. "Your work is beautiful." Or "You have a lovely family."
  5. Express your appreciation. "We are very grateful for your help with the Children's Transplant Association." Or perhaps "It was wonderful to speak with you about your planned move to our area."
  6. Optionally restate your purpose. "With your assistance, little Leighton will receive a life-saving heart transplant." "We hope we can help you select the right home for your growing family."
  7. Sign your name and position. "Liz Pilla, COTA chairperson, www.auntlizzy.com."
  8. Ask two people to proof-read the note before mailing it.

Tips

  • The note above can be customized for a donation, sales contact or other business transaction. If you have a renewable sale such as services or cleaning supplies a thank you note can insure a re-order. If you have a type of sale that is non-renewable or not frequently renewed (such as large equipment sale or aluminum siding) a thank you note is a great way to ask for a referral.
